JOB PURPOSE

To support effective delivery and maintenance of client-focused, value-for-money oriented quality administrative practices.

KEY ACCOUNTABILITIES (not all-inclusive)

  1. Facilities, assets, premises and light vehicle management,
  2. Travel- Creating trip documents and following up of after travel document and advising Staff on all travel related matters
  3. Protocol- VISA processing with Immigration & Ministry of Foreign Affairs, customs clearances, airport protocol issues and transport and hotel booking
  4. Stationery and Office Supplies Management
  5. Preparing Purchase Requisitions, Purchase Orders/ Micro Purchase Orders and processing monthly vendor payments (Service entry sheets/ GRNs
  6. Maintaining information, to contribute to the provision of a safe and comfortable working environment.
  7. Collate and process information including dissemination to support the production of standard documents and reports for the unit, to enable decision-making and the effective management of resources.
  8. Manage and maintain paper and electronic records within the area of responsibility in accordance with established procedures, to ensure swift and easy data access as required.
  9. Undertake research and perform basic analyses of data, to contribute to the provision of accurate information and effective management of resources.
  10. Be a first point of contact for internal queries, to facilitate the provision of efficient and effective resolution of daily issues.
  11. Provide inputs to routine methods and practices in own area of work, to support the continuous improvement of services provided.

STANDARD MINIMUM QUALIFICATIONS

Education: Completion of secondary school education. Degree in Business Administration /Management, Public Administration and any other related field is desirable.

Language: English language.

DESIRED EXPERIENCES FOR ENTRY INTO THE ROLE

  1. Has demonstrated an ability to perform all routine administrative activities in line with WFPs operating standards through day to day work
  2. Has supported in providing ad-hoc guidance to new staff members
  3. At least 4 years work experience in administration
  4. Able to work in a multicultural environment
  5. Able to work under pressure and meet deadlines
