University of Botswana Registration for Semester 1 of Academic Year

Registration is a mandatory process that all new students and those returning for subsequent years of study must undertake, thus for one to be declared a bonafide student at the University of Botswana, they must be registered. All students are expected to register with the University every semester before the start of classes. It is against the academic regulations of the University for anyone to attend classes for courses that they have not registered for.

Information on the registration process is available on the registration package below. The registration window for students to start online registration will open on 19th June 2023. It is expected that the availability of information on the registration package will afford new students the opportunity to go through the faculty registration guidelines provided to ready themselves for online registration on 19th June 2023.

The University of Botswana will update students on registration for Semester 1 of 2023/24 on a weekly basis through its official Facebook page: University of Botswana_Official.

Before you begin your registration

  1. Please go over the materials in the registration package.
  2. Make sure you have paid appropriate fees or you have a sponsorship letter.

Payment of fees

  1. All Returning/continuing students under DTEF sponsorship, are expected to register without making any payment.
     
  2. All Newly Sponsored Students (DTEF and other Sponsors) should send their sponsorship letters by email to: studentpayments@ub.ac.bw.  Please do ensure that you write your Student ID (Ref in your Admission letter) in the subject of email.
     
  3. All Self‑Sponsored Students (Returning and New) are expected to pay a minimum of 25% of all the Semester fees (Tuition, International Administration Fee, Accommodation, Excursion and Student Life)The remaining 75% balance be paid in monthly equal instalments, payable all before the end of each semester. Once the payment has been made, complete the Payment Plan form. Send the scanned Payment Plan form and Proof of Payment to studentpayments@ub.ac.bw, we will then facilitate your registration and will respond to the email to indicate that you may register.
     
  4. To comply with COVID-19 protocols, students are advised not to come to Students Debtors Offices but to utilize the availed online resources. This will ensure that there is no overcrowding and will reduce exposure to Covid-19 infection for our students.

Making your payment

  1. Online Payment:
    Students can pay their fees online using the UB Payments platform.
     
  2. Bank Deposit:
    • Local students can pay their fees at any branch of First National Bank of Botswana into Account Name: University of BotswanaBank Account Number: 62130787601
       
    • International students can pay into the Standard Chartered Bank Account details of which are as follows:

Academic registration online

Before you start the registration process, ensure that you have a list of courses that you are supposed to register for, otherwise contact your Faculty for guidance in that regard.

This process applies mainly to new students as those returning are aware of the process of logging into the Student Administration System. New students are therefore to follow the steps below followed by the ones on the ONLINE REGISTRATION: A STEP‑BY‑STEP GUIDE to complete academic registration. The first steps towards online registration are as follows:

  1. Open the Student Administration System.
  2. You will then have to provide your login details in order to access the system. Your login details are as follows:
    1. User ID: Your Student Identity Number (Ref: on the Admission offer)
    2. Password: This is made up of the first 2 letters of your First Name in uppercase, the first 2Surname in uppercase and the last 4 numbers of your Student Identity Number. The example below is an illustration of the login details explained above:
      • If your Student Identity Number is: 202001460, and your
      • The first name is Peter
      • Their surname is Tomson, and then
      • User ID: 202001460, Password: PETO1460
  3. Finally, Click on Sign In in order to access the System.
  4. You can now follow the steps outlined in the ONLINE REGISTRATION: A STEP‑BY‑STEP GUIDE to complete your academic registration or follow the steps conveyed through the video below which summarises the whole academic registration process.

  • The System may prompt you to change your password after first login.
  • If you have any difficulty to login into the system contact your Faculty IT support.

Once you have completed the academic registration online, you can go to Block 139 (Student Centre), Office 102, for your Student Identity Card. As a student, you have the responsibility to update your personal information and contact details throughout your studies using Student Self Service.

Application for accommodation on campus (freshers only)

This is available for all new students, both local and international.  Note that you can only start the process of applying for accommodation after you have completed your academic registration.

The first steps towards applying for accommodation are as follows: 

  1. Open the Residence Management System.
  2. This link will take you to the Student Accommodation Access, as seen below, where you will apply for accommodation on campus.
  3. You will then have to provide your login details as in Step 3 above in order to access the system. The login details are as follows:
    1. Username: your Student Identity Number.
    2. Password: your Student Identity Number.
  4. Finally, Click on Login in order to access the System.
  5. Complete the online Application Form noting that all fields with an asterisk are mandatory;
  6. Make sure to apply as a “First Year Student”
  7. Once you have completed the Application Form, then submit it by clicking “FINISH”.
  8. After submitting your application, a pop‑up message will appear with a reference number informing you that your application has been submitted. Do note the reference number.

NB:

  • Please note that acceptance of the application does not guarantee accommodation.
  • The names of those admitted into residence will be published on the University Website/intranet
  • Special consideration shall be extended to those with medical conditions, disability, being an orphan and vulnerable with supporting documents submitted to Student Welfare and international students. If you send documents by email use: studenthousing@ub.ac.bw
